We are looking for a Production Lead to lead video production management for Conde Nast’s prestigious brands in Japan - Vogue, GQ, and Wired.
As the Production Lead, you will work closely with the Producers, Finance, Legal, Heads of Editorial Content and the VP, Global Physical Production to manage the production management operations of the Japan Video team. From pre-production planning to video shoots and post-production, you'll ensure everything runs smoothly and handle logistical coordination, managing and securing resources, and creating, managing and monitoring budgets and production schedules. Your role will directly contribute to the success of video series that fuel audience growth and drive monetization across digital platforms.
The Video output includes:
-Original, social video, and podcast content for global digital platforms (e.g. YouTube, Instagram, TikTok).
-Syndicated series for local markets.
-Scalable, high-quality video franchises across multiple platforms and markets.
-The ideal candidate is detail-oriented, thrives in a fast-paced environment, and demonstrates a strong ability to manage logistics while collaborating with various stakeholders. You will work closely with the Production Lead and the wider production team to meet project deadlines and uphold quality standards.
This role is based in Tokyo and reports to the VP, Global Physical Production.
Essential Skills & Requirements:
-Strong understanding of production and post-production workflow, operational and logistical production, and managing a large team across many projects at various stages of production.
-In-depth understanding of Cost Reports/Trackers, and forecasting for video production.
-Experience in working with video publishing platforms such as YouTube, TikTok, IG and more
-Demonstrated aptitude to work closely with internal and external stakeholders, in the UK and all CN Markets
-Experience managing a slate of multiple projects simultaneously.
-Experienced with Audio/Visual technical requirements, and understanding of technical specifications.
-Confidently manage Health & Safety Protocols Production Insurance, data protection legislation, contractual rights, compliance, and copyright requirements.
-You will be well-organized, effective under pressure, resourceful, problem-solver, financially-minded, able to hit hard deadlines and have good leadership skills
-Business-level English (reading/writing/speaking) is essential.

-Experience of working with creative and commercial teams, and managing expectations all around in a fast-paced environment
Primary Responsibilities
-Financial management: organize, manage, monitor, forecast and implement budgets, mitigate any overages, be responsible for escalating financial risks and concerns. Ability to make critical budgetary decisions alongside the Producers and HoRCs, both internally and externally.
-Provide regular production reports, budget health and general feedbacks to the Producers, HoECs and VP, Global Physical Production
-Handle all associated hard & T&R production costs against the annual output targets, tracking expenses and processing invoices from third-party providers and freelancers. Approve invoices, and liaise with finance departments as/when necessary to ensure freelance and crew payments are processed. Assist in reconciling all Production Expenses such as Credit Cards or Out of Pocket expenses.
-Onboarding and supporting new starters
-Closely monitor and production schedules from development to delivery, tracking project developments across the year, and plan staffing accordingly. Taking proactive measures when needed to ensure deadlines are met.
-When necessary, assist the Producers as well as the Programming and Development lead in coordinating and organizing video shoots, ensuring the production phase runs efficiently
-Responsible for compliance, Health & Safety, legal, insurance considerations for all productions, aligned with the company, local industry protocols and Japanese law.
-Alongside the VP, Global Physical Production, liaise with HR for any staff-related issues or queries
-Work closely with Producers to hire crews, fixers, and contractors, including negotiating rates of pay
-Ensure all necessary Agreements, Release forms and Permits are in place.
-Foster production crew and external vendor relationships to always expand the network, and manage crew & freelancers database for the team.
-Support in organizing post-production schedules, recruitment, tracking delivery of footage and final videos, and storage of assets within the Video Team.
-Knowledge of new technologies and advancements, and identify the most efficient and cost-effective ways of working. Knowledge of technical specs and delivery specifications for the Web
