概要

Custom Media, an award-winning integrated marketing agency based in central Tokyo. We are seeking a part-time, detailed-oriented and proactive office administrative assistant who can organize and execute their duties effectively.

We are seeking a Part-Time Office Assistant to manage the company's administrative tasks. This role is a hybrid position, requiring the successful applicant to work three days a week, with a minimum of two days based in our Kamiyacho office.

The ideal candidate will be a native Japanese speaker with a good command of English and over three years of office administrative experience.

スキル・資格

Professional and Educational Background:
Bachelor's degree and at least 3 years of relevant professional experience.
Previous experience in office administration, reception, or customer service is a plus.

Core Competencies:
Communication: Native Japanese fluency is essential, along with a strong command of English and experience in a multicultural work setting.
Organizational and Management: Proven ability to exercise sound judgment, prioritize, allocate, and manage multiple tasks effectively.
Attention to Detail & Quality: A focus on quality assurance, consistently paying attention to detail and seeking to improve work processes.
Adaptability & Initiative: Proactive and flexible, capable of maintaining a positive and constructive attitude while working under pressure.
Technology: High proficiency in Microsoft Office applications and common Internet tools (e.g., Google Sheets, Docs).

Teamwork & Attitude:
An enthusiastic and passionate team player, willing to both offer insights and accept constructive feedback.

業務内容

Office Administration and Support Duties:
Manage incoming and outgoing communications, including answering phones and processing postal mail.
Maintain and manage office supply inventory.

Human Resources Coordination:
Coordinate the onboarding process for new hires.
Liaise with the outsourced accounting firm regarding staff-related HR documentation (e.g., health insurance, pension).
Assist foreign employees with visa application document preparation.

Errands and Documentation:
As required, visit external offices (Law Office, Tax Office, Bank, etc.) to obtain official documents.

学歴

Bachelor's degree and at least 3 years of relevant professional experience.
